Incoming quote requests may arrive through multiple channels: email, web forms, or other digital platforms. If these are not processed through a unified workflow, individual inquiries may reach the responsible colleague with delay or be recorded with incomplete data.
The Automatic Quote Request Manager integrates the designated incoming channels into a single, unified processing workflow. The system identifies new quote requests, extracts the most important data, and organizes it into structured fields, such as the contact person’s name, company details, the requirement, budget, and desired deadline, where such information is available.
Based on predefined rules, the quote request is categorized according to product, service, region, or other business criteria, and an urgency flag is assigned when necessary. Based on the established assignment rules, the inquiry is forwarded to the responsible salesperson or team.
The salesperson receives a brief, structured summary, allowing for a faster review of the essence of the inquiry and the next required step. If desired, an automatic confirmation can be sent to the prospect regarding the receipt of the inquiry and the expected timeframe for a further response.
Uncertain or incomplete data may be flagged by the system for review. The purpose of the solution is not to replace the salesperson’s decision, but to support faster, more consistent, and more transparent processing.
