The Stock Monitor and Procurement Assistant monitors inventory data at the configured frequency. When a product’s stock level reaches the predefined minimum or maximum value, it notifies the responsible procurement staff via email, Slack, or Microsoft Teams.
For specified products and suppliers, the system calculates the suggested quantity based on predefined ordering rules and prepares the purchase order in the format required by the supplier. The order can be forwarded after approval, if required, or automatically based on predefined authorization conditions.
When calculating the purchase suggestion, lead times, minimum and maximum stock levels, seasonal settings, and other predefined ordering parameters can be taken into account.
The system supports more predictable inventory replenishment, can reduce the risk of unexpected stockouts, and helps minimize excess tied-up inventory capital. Repetitive stock monitoring and order preparation steps can operate automatically, while the necessary control and approval points remain in place.
