Manually recording the data of invoices arriving as PDFs, photos, or email attachments can cause significant administrative burden. This repetitive data entry, which requires great attention, is time-consuming and increases the risk of typos and incompletely recorded data.
The Automatic Invoice Reader automates the primary extraction and structuring of invoice data. The system is capable of processing machine-readable PDFs, scanned documents, and photos of adequate quality.
The AI-based processing can extract, for example, the supplier’s name, invoice number, net and gross amounts, VAT amount, performance and payment deadlines, and, if required, the invoice line items.
The extracted data can be forwarded in a predefined field structure to the accounting software, spreadsheet, or other financial records in use. Uncertain or ambiguous data is flagged by the system for review.
Recognition accuracy may be affected by the quality, resolution, and structure of the document. The system automates data extraction and the generation of structured data output, but accounting and financial review remains the responsibility of the competent staff member.
